The National Portrait Gallery’s purpose is to increase the understanding and appreciation of Australian people and culture through the art of portraiture. The position

Reporting to the Director, Collection & Exhibitions, the Collection Administrator is responsible for the management of collection documentation including acquisitions, Collection Management System administration and overseeing the section policies, procedures and national and international compliance for art movement. The Collection Administrator works collaboratively with the Collection Manager, Imaging Services, Curators and the Exhibitions team, as required.

Specific tasks

As a senior position within a small collection management team:

1. Manage all registration aspects of the Gallery acquisition process including liaison with internal and external stakeholders, processing donations via the cultural gifts program, issuing deeds of donation, cataloguing newly acquired works and the maintenance of collection copyright records.

2. Management and maintenance of the Gallery’s collection management system (CMS). This includes overseeing staff training, generating reports and statistics whilst ensuring accuracy in relation to the documentation and cataloguing of the collection.

3. Ensure the gallery is compliant with national and international regulations and procedures for the movement of cultural objects. This includes maintenance of the Gallery’s Approved arrangements, Known Consignor Scheme status, insurance coverage and indemnification.

4. Supporting the Director, Collection and Exhibitions with business planning, budget formulation, tracking and analysis, program and performance reporting; contributing to the development of policies and procedures and other high level tasks as required.

5. Manage the development, implementation and review of collection data standards and registration processes and procedures.
